Terms of service

In force from 6 October 2026

Who we are and who these terms are for

Prepta is operated as a Belgian sole proprietorship under enterprise number 1043.060.893 (VAT BE 1043.060.893), established at Eekhoutstraat 2 bus A201, 8850 Ardooie, Belgium (“we”). These terms govern the website, the free artwork check and the Prepta application. Prepta is offered to businesses and professionals; by creating an account or starting a check you confirm that you act in that capacity and accept these terms. Questions go to privacy@prepta.app.

The service

Prepta is a cloud service that checks, repairs and validates print artwork. The free artwork check runs one file at a time, without an account, and produces a report only. A paid subscription adds a workspace: production profiles, automated repair under your policy, review tools, team accounts and validated exports. What each plan includes and costs is stated on the pricing page.

Accounts and workspaces

A workspace belongs to the organisation that creates it. You are responsible for the accuracy of your account details, for keeping credentials confidential, and for the people you invite. Owners and admins can manage members, billing and settings; those actions bind the organisation.

Your content and responsibilities

You confirm you hold the rights needed to upload and process the artwork you submit, including artwork handled on behalf of your customers. Prepta prepares files for production; the decision to release a file to production, and responsibility for the printed result, remains with you.

Automatic repair

Prepta applies only the transformations your production profile authorises, records every change it makes, and always preserves the original file unchanged. Repaired files are new versions that can be compared against the original. Review features exist so a person can inspect changes before release; whether to use them is your choice and your responsibility.

Fees, billing and renewal

Subscriptions are per workspace and billed in advance, monthly or annually, through our payment processor Stripe. Prices are shown on the pricing page and exclude VAT; VAT or the reverse-charge mechanism is applied at checkout where required. Subscriptions renew automatically for the same period until cancelled. You can cancel at any time from Settings → Billing; cancellation takes effect at the end of the period already paid, which you keep in full. Except where the law requires otherwise, fees already paid are non-refundable. If we have billed you in error, contact us and we will correct it.

Free trial

Each person can start one 14-day free trial, without a payment method, for a workspace they own or administer, once their email address is confirmed. The trial includes the chosen plan’s features and up to 100 jobs. If no subscription is started by the end of the trial, it simply lapses: nothing is charged, existing data remains readable, and creating new jobs pauses until a plan is chosen.

Plan limits and fair use

Each plan includes a monthly job allowance and limits on team members and production profiles, as described on the pricing page. A job is one artwork taken through intake; its checks, fixes, re-checks and review are included, and a job never counts twice. A corrected file sent after the check is uploaded as a new file and is a new job. When an allowance is reached, new jobs pause until the next monthly period or an upgrade. Existing work stays accessible. We may apply technical limits to protect the service against abuse.

Non-payment

If a renewal payment fails, it is retried and you are notified. During a short grace period the workspace keeps working; if payment is not completed, the subscription ends and the workspace returns to the unsubscribed state: data readable and exportable, new jobs paused. We never delete your data for non-payment.

Ending the agreement

You can end the agreement at any time by deleting the workspace. Doing so ends any running subscription immediately, without refund of the current period, and deletes the workspace’s data as described in the privacy policy. We may suspend or end a workspace that breaches these terms, after notice where the circumstances allow. Workspaces that have had no subscription and no activity for twelve months may be closed after at least 30 days’ notice.

Data protection and processing on your behalf

How personal data and artwork are handled, including retention and deletion, is described in the privacy policy. Customer artwork is never used to train models. Where artwork contains personal data of your customers, we process it as your processor: only on your documented instructions, which these terms and your workspace settings constitute; with confidentiality obligations on everyone who has access; with the technical and organisational measures described in the privacy policy; using only the sub-processors listed there, with notice before any change so you can object; assisting you with data subject requests and security incidents; and deleting the data when you delete the workspace.

Availability and support

Prepta is provided with commercially reasonable efforts and without a formal availability commitment. Support is provided by email; the Business plan receives priority handling. Planned maintenance is announced in advance where practical.

Warranties and liability

Prepta is a tool in your production chain, not a guarantee of a correct printed product. To the extent permitted by law, liability is limited to direct damages up to the fees paid in the twelve months before the event giving rise to the claim, and indirect or consequential damages, including reprint, material and shipping costs, are excluded. Nothing in these terms limits liability that cannot lawfully be limited.

Changes

We may improve or change the service. Material reductions of a paid plan and price increases are announced at least 30 days in advance and take effect at your next renewal, so you can cancel first. These terms may be updated with the same notice.

Governing law

These terms are governed by Belgian law. Disputes are brought before the courts competent for our registered office, without prejudice to mandatory rules that provide otherwise.
